Too many high-achieving women feel like they have to handle it all themselves to ensure things are done right. But honestly? Holding onto every little task is a fast track to burnout. Delegating smartly allows you to stay focused on what you do best and empowers others to step up and shine.

  • Identify the tasks someone else can take off your plate.

  • Be crystal clear with instructions and expectations.
  • Trust, but verify—check in without micromanaging.

For 14 years, I ran my own business without an assistant. I handled business deliverables, client services, and operations. One area I was able to outsource quickly was transcribing phone conversations with my clients.

ou see, since I’m a writer, one of the best ways to learn how to write in my client’s voice, was to record them. I would get those conversations transcribed and turn them into web copy, email copy, or sales copy. Even solopreneurs can make their lives easier by delegating tasks.

This Friday, make a list of three tasks you can pass off next week. Whether it’s handing off meeting notes, assigning research, or outsourcing part of a project, let go and free up your focus.

#3: Project Management Tools: Streamline For the Win

This is my personal “secret sauce.” I love finding ways to create a process and then fine-tune it for optimal impact. When you’ve got multiple projects running at once, sticky notes and mental checklists just won’t cut it. That’s where project management tools like Asana, Trello, and ClickUp come to the rescue.

These tools help you:

  • Organize projects step by step
  • Track who’s doing what (and when)
  • Keep deadlines front and center

Suddenly, everything lives in one spot, and you don’t have to wonder where things stand. Best of all, they help you hit your big goals on time, which means you’re not just keeping up—you’re crushing it.

Asana was my “go to” app when I worked on my clients’ books. It was easy to set up and create milestones for preliminary book development, chapter development, and everything else that needs to happen after the manuscript was completed.

Pick one big project you’re working on right now. Create a board or list for it in Trello or Asana, break it down into bite-sized steps, and check in with it daily for 10 minutes. Watch how much smoother everything runs!

#4: Time Management Tools: Own Your Schedule

Here’s a little secret: if you don’t take control of your calendar, your calendar will control you. Believe me. I speak from experience. Years ago, I was finally tired of feeling like my weekdays were a repeat of dumpster fires demanding my reaction.

Time management tools like Google Calendar, Todoist, and Clockify are absolute lifesavers when it comes to making sure you’re spending your time on what matters most. They help you:

The best part? Automation helps you maintain consistency and accuracy, which is key when your success is tied to performance metrics like on-time delivery, client communication, and reporting. I love Microsoft Outlook and depend on its calendar features. I schedule many meetings and repeat events. One glance at the “To Do Bar” on Monday morning allows me to view my weekly appointments so I can stay on track.

Start small. Set up one automation this week—maybe it’s an automatic email reminder or syncing your work and personal calendars. Build from there, and soon, you’ll wonder how you ever lived without it.
